Voice Bridging Procedure

The Voice Bridge Conference Service can be scheduled when 3 or more participants with access to the VCCS voice-over-IP network need to be connected.

Any authorized VCCS customer may call or e-mail the VCC Utility Help Desk to schedule a voice conference.

I. Scheduling a Conference Call:

Step 1: The customer requesting the conference (conference sponsor) must obtain the following information and perform the following procedure prior to scheduling a conference call.

  1. Identify the conference sponsor as a VCCS customer. They will be asked to provide their customer id, e-mail address, college name, and a contact telephone number.
  2. Identify the number of participants (be sure to include conference sponsor).
  3. Provide instructions for all participants calling in from an off-network location. These callers will need to have appropriate authorization and procedures for accessing the voice-over-IP network services.

Step 2: Contact the VCC Utility Help Desk to schedule a voice conference providing the following information:

  1. Customer information.
  2. Date, time, and duration of the conference call.
  3. Number of participants.

Step 3: The VCC Utility Help Desk will schedule the conference and provide the conference sponsor with the following information via a voice or e-mail response.

  1. Confirmation that the conference has been scheduled.
  2. Provide the telephone number assigned to the conference.

Step 4: Conference sponsor will provide all conference participants with the information necessary to participate in the scheduled conference.

II. Participating in a Voice Conference: At the scheduled date and time, conference participants should follow the instructions provided below:

On-network participants - calling from telephones located on campus.

  1. Follow their campus voice-over-IP calling procedure to access the voice bridge.
  2. Dial the 10-digit telephone number assigned to the conference.

Off-network participants - calling from an off-campus location.

  1. Dial the VCCS local campus access number. Follow the local college procedure for accessing the campus voice network.
  2. The caller will be prompted to enter their assigned account code and pin number.
  3. If the caller is successfully authenticated, the system will respond with a second dial tone. The caller enters the 10-digit telephone number assigned to the conference.

 

Note: If a caller should be unable to connect for any reason, they should wait a few minutes and repeat the calling procedure. If the problems continue, contact the VCC Utility Help Desk.
